Fresh air, natural light, breathtaking backdrops and that unbeatable sense of quintessential charm – yes please! But with the great outdoors comes great responsibility (hello unpredictable weather, curious insects and the small matter of power supply). Outdoor weddings are unforgettable, and with the right preparation, they can also be wonderfully stress-free. The secret isn’t controlling every detail but planning for every possibility.


This ultimate outdoor wedding checklist is designed to keep you calm, organised and ready for Plan A, Plan B and even Plan C. Think of it as your no-panic, all-essential guide to mastering an outdoor celebration that feels effortless, even if the British weather decides to keep you on your planning toes!

Plan A is your dream scenario – how you’d love the day to unfold if the weather plays ball. Plan B is your backup – thoughtful alternatives that keep everything running smoothly if the weather or logistics change slightly. And Plan C is your just-in-case solution – practical, prepared and ready to step in if the unexpected happens.
Having all three in place doesn’t mean expecting things to go wrong; it simply means that you can relax knowing you’re prepared for anything and everything, whatever the weather decides to do!

Before you fall head over heels for a setting, it’s important to make sure it works just as well practically as it does aesthetically.

Considering recent rainfall and ground drainage is just as important as the forecast itself, dry days can be followed by soggy weeks, so plan flooring and walkways accordingly.

Try to place elderly guests, young children and anyone sensitive to sun or cooler temperatures in the most sheltered, comfortable spots, whether that’s natural shade, covered areas or closer to heaters as the evening draws in.

Outdoor weddings rely heavily on teamwork and adaptability, so keeping your suppliers informed, involved and comfortable is essential.
Before the day, walk through your Plan A, Plan B and Plan C with each supplier so that everyone understands how changes will be handled if needed. Share layouts, timings, power plans and backup options early – this allows your team to prepare calmly rather than react in the moment.
It’s also worth considering your suppliers’ working conditions outdoors. Providing shade for musicians, covered areas for photographers’ equipment, shelter for catering teams and access to refreshments throughout the day can make a huge difference to how smoothly everything runs.
Happy, comfortable suppliers are far better placed to deliver their best work and to adapt seamlessly if plans change.
