The Ultimate Outdoor Wedding Checklist

It’s almost spring, and I’m thrilled to be back and gracing these pages with my first wedding planning feature of the year!  For those of you who don’t yet know me, I’m Kat – Founder and Head Planner at Katrina Otter Weddings and Coco Wedding Venues’ Resident Planner, and I’m looking forward to a jam-packed year of practical planning advice ahead!

Right, intro over – let’s dive straight into today’s topic: outdoor weddings and all of the logistical gymnastics that they entail!

Fresh air, natural light, breathtaking backdrops and that unbeatable sense of quintessential charm – yes please!  But with the great outdoors comes great responsibility (hello unpredictable weather, curious insects and the small matter of power supply). Outdoor weddings are unforgettable, and with the right preparation, they can also be wonderfully stress-free. The secret isn’t controlling every detail but planning for every possibility.

This ultimate outdoor wedding checklist is designed to keep you calm, organised and ready for Plan A, Plan B and even Plan C. Think of it as your no-panic, all-essential guide to mastering an outdoor celebration that feels effortless, even if the British weather decides to keep you on your planning toes!

Throughout this checklist, you’ll see references to Plan A, Plan B and Plan C.

Plan A is your dream scenario – how you’d love the day to unfold if the weather plays ball. Plan B is your backup – thoughtful alternatives that keep everything running smoothly if the weather or logistics change slightly. And Plan C is your just-in-case solution – practical, prepared and ready to step in if the unexpected happens.

Having all three in place doesn’t mean expecting things to go wrong; it simply means that you can relax knowing you’re prepared for anything and everything, whatever the weather decides to do!

The Big Picture: Location and Permissions

Before you fall head over heels for a setting, it’s important to make sure it works just as well practically as it does aesthetically.


Plan A: Your dream outdoor location

  • Confirm all necessary permits, permissions and access rights — especially for licensed ceremonies
  • Check noise restrictions, curfews and local regulations (this is applicable in both rural and residential settings)
  • Understand guest capacity limits and any layout restrictions
  • Clarify access for suppliers, mobility needs and emergency vehicles… just in case

It’s also worth checking your wedding insurance covers outdoor setups, weather disruption and hired equipment.


Plan B: An on-site backup option

  • Is there a covered terrace, marquee, stretch tent or indoor space available?
  • Can it be set-up and styled quickly without losing the atmosphere?
  • Is your furniture and décor flexible enough to move at short notice? Are your suppliers aligned with your plans, and do you have the manpower in place to adapt if needed?


Plan C: Off-site or last-minute alternative

  • A nearby space/venue provisionally held
  • A clear transport plan if guests need to relocate
  • One named decision-maker to call it… and communicate/coordinate accordingly
Weather: Expect Everything,
Hope for the Best

The golden rule of outdoor weddings in the UK… never trust the forecast (this is a BIG lesson learnt = 100% chance of no rain ended up being a hailstorm LIE!) and never rely on just one plan.


Plan A: Ideal conditions

  • Natural shade from trees, parasols or a marquee/stretch tent covering
  • Fans for warmer months or discreet outdoor heaters for cooler days
  • Baskets of sunglasses, parasols and fans for summer ceremonies, drinks and outdoor feasting


Plan B: Mild weather curveballs

  • Clear or neutral umbrellas for passing showers
  • Blankets, shawls or pashminas as temperatures dip
  • Sunscreen and hydration stations, if the sun surprises you


Plan C: Full weather drama

  • A marquee or stretch tent with sides that can be quickly deployed
  • Waterproof flooring, coir matting or rugs to protect grass and shoes
  • Towels or polythene covers for chairs, tables and ceremony surfaces
  • Additional emergency heaters positioned around seating and/or dining

THE GOLDEN RULE OF OUTDOOR WEDDINGS IN THE UK… never TRUST THE FORECAST AND never RELY ON JUST ONE PLAN.
Power, Lighting and Sound

The outdoors is serene, but it doesn’t come with plug sockets!


Plan A: Everything works perfectly

  • A reliable generator and/or access to venue power that’s been tested in advance, with the correct plug connections in place
  • Festoon lighting, fairy lights, uplighters or lanterns for ambience and visibility
  • Microphones and speakers suitable for open-air ceremonies and speeches


Plan B: Partial power issues

  • Battery-powered or solar lighting options
  • A more intimate, acoustic ceremony setup
  • Clear communication between suppliers on adjusted plans


Plan C: Full power failure

  • Emergency lighting for safety after dark
  • Supplier contingency plans agreed in advance
Seating, Surfaces and Guest Comfort

Comfortable guests are happy guests, and outdoor terrain needs extra thought.

Considering recent rainfall and ground drainage is just as important as the forecast itself, dry days can be followed by soggy weeks, so plan flooring and walkways accordingly.


Plan A: Stable, dry ground

  • Ceremony chairs or benches designed for outdoor use
  • Dining tables and bars suitable for grass or gravel
  • Adequate restroom facilities (including luxury portable toilets if needed) and clear, well-lit pathways to access them


Plan B: Uneven or soft surfaces

  • Floorboards, rugs or grass-reinforcement mats
  • Baskets of heel stoppers or flats to save sinking heels


Plan C: Wet or windy conditions

  • Weighted furniture and décor to prevent movement
  • Covers, throws or towels to keep seating and tables dry
  • Portable heaters to keep guests warm once temperatures drop
Food, Drinks, and Table Logistics

Outdoor catering needs careful consideration, particularly when temperatures fluctuate.


Plan A: Smooth service

  • A caterer experienced with outdoor weddings, who’s confident managing logistics, temperature control and last-minute layout changes
  • Adequate refrigeration, food storage, dedicated prep space (such as a catering tent) and appropriate hand-washing facilities


Plan B: Heat or cold challenges

  • Extra ice or warming trays
  • Menu tweaks to avoid melting, wilting or spoilage


Plan C: Service disruption or sudden weather changes

  • A clearly defined covered or indoor area ready for food and drink service
  • Flexible service styles (sharing boards, grazing tables or plated service) that can adapt to layout changes
  • Water stations positioned both indoors and outdoors to keep guests comfortable


And whilst we’re on the subject of outdoor dining, where guests sit really matters in unpredictable conditions. Try to place elderly guests, young children and anyone sensitive to sun or cooler temperatures in the most sheltered, comfortable spots, whether that’s natural shade, covered areas or closer to heaters as the evening draws in.

Wind: The Often-Forgotten Factor

Rain gets all the attention, but wind can be just as disruptive.


Plan A: Light breeze

  • Low, sturdy table arrangements
  • Candles protected with hurricane sleeves/enclosed containers, or alternatively, wireless lamps


Plan B: Gusty conditions

  • Weighted signage, décor and floral installations
  • Flameless candles for safety or, ideally, wireless lamps


Plan C: Strong winds

  • Relocate key moments (ceremony, speeches or dining) under cover
  • Simplify table styling to avoid accidents


It’s also important to check venue fire regulations and ensure that any open flames are safely and securely positioned, particularly in marquee spaces or on dry grassy areas.

Emergency Kit and Essentials

A well-stocked emergency kit can quietly save the day!


Plan A: Prepared and calm

  • Scissors, tape, safety pins and cable ties
  • Phone chargers and battery packs


Plan B: Weather-related fixes

  • Spare umbrellas or ponchos
  • Towels, covers, wipes and blotting paper


Plan C: Just-in-case essentials

  • First-aid kit
  • Sunscreen and insect repellent
  • Blankets or wraps for cooler evenings
Wedding Attire and Personal Prep

Style is important – but so are comfort and practicality, especially when planning for the British weather.


Plan A: Outdoor-friendly choices

  • Dresses and suits suited to grass, gravel or uneven ground
  • Sensible footwear for moving between spaces


Plan B: Weather adjustments

  • Heel protectors or shoe changes
  • Shawls, jackets or wraps for later in the day


Plan C: Beauty backup

  • Setting spray, blotting papers and anti-frizz products
  • Hair pins, elastics and a touch-up makeup kit
Bugs, Wildlife and Nature

Charming… until they’re not!


Plan A: Minimal interference

  • Citronella candles (my current fave are these!) or discreet repellents
  • Covered food stations


Plan B: Increased bugs or wildlife

  • Enclosed dining areas, along with protective covers and insect-repelling fans or nets
  • Extra staff assigned to food protection


Plan C: Major interference

  • Move food service or key moments indoors
  • Adjust timings to avoid peak insect hours
Communication is Everything!

When plans change, guests should feel reassured, not confused.


Plan A: Clear schedule

  • Clear signage and order-of-the-day boards/cards
  • Confident MC announcements


Plan B: Minor changes

  • Text updates or alerts via your wedding website


Plan C: Full relocation or delay

  • A dedicated person coordinating guests and suppliers (i.e. your wedding planner, venue coordinator, trusted supplier or MC) who can calmly manage changes and keep everything running smoothly
  • Clear transport instructions and timings
And last but by no means least…

Supplier Communication and Comfort: The Key to a Seamless Day

Outdoor weddings rely heavily on teamwork and adaptability, so keeping your suppliers informed, involved and comfortable is essential.

Before the day, walk through your Plan A, Plan B and Plan C with each supplier so that everyone understands how changes will be handled if needed. Share layouts, timings, power plans and backup options early – this allows your team to prepare calmly rather than react in the moment.

It’s also worth considering your suppliers’ working conditions outdoors. Providing shade for musicians, covered areas for photographers’ equipment, shelter for catering teams and access to refreshments throughout the day can make a huge difference to how smoothly everything runs.

Happy, comfortable suppliers are far better placed to deliver their best work and to adapt seamlessly if plans change.
